Upon receiving a complaint from a customer about a product or service, reputed companies immediately send a response letter to the customer acknowledging the issue. Response to customer complaint letters are written by companies, to let the customer know that his or her words are important to the company, the company will take immediate action to solve the problem and the company is really sorry for the trouble caused to the customer. Dear Mr. Jones,

Thank you for your letter dated 10th October, 2014 notifying us the problem you have been facing at our store in Whitefield. I am really sorry to hear about your difficulties there because of a frustrating series of events. I completely agree that what you have experienced was inexcusable.

It is our company’s policy that we always respond to our customer’s concerns in the shortest delay possible. I have already spoken to our store manager there and enquired about the issue. I assure you that you will get a 100% refund of the product when you visit our store next.

You please accept my sincere apologies for the inconvenience this issue has caused. We have already taken action so that this sort of problems won’t occur in the future.
