Reference letters are letters written to refer someone to an organization or institution for job, testimonial or academic-oriented purposes. It is a very essential document in crafting the image of and presenting a person. References may be given by a teacher, employer or someone who is legitimately entitled to do so. Therefore, it should be written with due consideration of an individual’s character, conduct, behaviour, accomplishments and skills as the reference would convey a great deal about him which in turn would somewhat shape the recipient’s decision.
The letter should have a business-like quality and start with a direct introduction of the writer and explanation of the relationship between him and the candidate. Subsequently, the purpose behind the reference must be stated so that the recipient learns about his motives and expectations right away without delving into the whole letter.
The following points must be remembered while writing a reference letter:
- The background information about the plaintiff must be clearly laid down along with proper enclosures and contact details.
- The individual’s previous experiences and accomplishments can be referred.
- A special mention of his unique attributes and roles must be made.
- His overall demeanour and other competencies must be specified through the letter.
