Hotel reservation letter is for approving prior reservation or booking of rooms at any Hotel. It should always mention tariff charges, number of days and nights, check-in check out time and other facilities or services included in tariff charges. A sample letter is given below for help.

Sub : Hotel reservation Letter

Dear Sir,

We acknowledge receipt of your letter dated 8th June and confirm that all booking are made as per your requirement for 4 guests. We confirm the 2 double rooms with sea facing view as requested by you at the time of booking. The tariff charges are 5000 pounds per room plus service charges of 12%. The tariff also includes a complimentary continental breakfast for each guest in the two rooms booked at our hotel. We are enclosing our hotel brochure with photographs and other details for your perusal. We also serve dinner at our Roof Top restaurant which will be on chargeable basis and the menu is enclosed for your reference.

We note that your guests have paid you in advance for accommodation and all the charges will be settled by you on receipt of your invoice and pink hotel vouchers issued by you.

I am also delighted to give 10% discount on the total charges when you make the payment in cash within the next two days.

Look forward for confirmation and details of check-in timing of the guests to help us make the necessary arrangements.
