The appointment letters fall in the strictly formal category and hence the ambiguity of keeping the language formal or not does not exist here. The appointment letters should be clearly mentioning the reference if they are in response to any application letter. Now, after the reference, the designation of the person writing the letter should be mentioned to carry the importance of the letter to the addressee of the letter on an immediate basis.

The news of appointment is meant to invoke a feeling of happiness among the addressee and hence person writing the letter can convey the same in an appropriate manner by using the phrases like ‘we are proud to make you inform that –‘, etc.

The appointment letters should also be able to put a reminder in the mind of its reader of what is expected from him or her giving the fact that he or she has acquired the appointment of the concerned job. However, the indication should be given in an abstract way like indicating the flow of loyalty and dedication which is expected for the job.

Also, one should be making it a point to mention that the appointment letter should be accompanied wherever and whenever it is necessary to be done so. Usually, the appointment letter does not carry enclosure. However, in certain cases where the appointment has to be served on a short notice then the enclosure carrying the necessary documents or list of the job to be done immediately should be vividly mentioned.
