In the first paragraph, you should introduce yourself particularly if the recipient of the letter does not know you. You need to know the sort of person you are writing to so that you can frame the letter appropriately. You should state the purpose of the letter in the first paragraph. However, this should be brief because the details will be in the body paragraphs.

The body paragraphs justify the significance of the subject matter. Include the background information and supporting evidence.

State your recommendations, suggestions and viable solutions. The paragraphs can be as many as you want but remember that business letters should be concise and straight to the point.

In the closing paragraph, reiterate the subject matter of the letter. Assure the reader that they can contact you for more information and give them a phone number or address.
