Dear Mr. Chirag,

In behalf of the Mumbai Hospital, I would like to apologize to you for the problem you encountered in getting a room when you were confined in the hospital.  I was told by the Head Nurse that you had filed a complaint because you had to wait several hours before you were finally transferred to your own room.  She reported that one of our staff got into a heated argument with you over the matter.

I would like to apologize for the incident and the impolite action of our staff.  However, the hospital is really full of patients and sometimes it is unavoidable for patients to wait a few hours before getting a room.  Please bear with our condition as we have yet to expand our hospital.
