Admission letters are important documents which mainly serve official purposes, be it admission in some educational institute, company or health centres and nursing homes in case of emergency. Such letters convey either the news of some individual’s admission being granted or can state a person’s appeal for admission in some particular institute or organization. These are vital records which are generally maintained in an orderly manner, in a file, so as to serve as important reference reports for any related need in future, such as to keep a proof and legal acknowledgement of the individual’s admission in the said institute or organization.
The structure of admission letters should be such that the sender’s name and address is to be written at the top of the letter, followed by the name as well as address and designation (if required) of the recipient. It is important to use appropriate salutation terms, depending on the type and purpose of the letter and also to include the subject precisely. The particulars of the entire admission procedure should be written in details. A few things to be noted are:
- The letter should be very much focused on the subject and appeal to the reader personally, without hampering the professional tone of approach which it should necessarily contain.
- They should be narrative in nature and yet present a technically analytical format.
- Admissions letters should be concise and coherent and specific in purpose.
